The National Jazz Museum in Harlem has over the course of several years evolved into a major cultural presence in New York City. We hope you will join us for our free weekly programs in Harlem, which include our course JAZZ FOR CURIOUS LISTENERS, our interview series HARLEM SPEAKS, and/or to visit our Visitors Center. Volunteer Job Descriptions


Title: Administrative Volunteer

Purpose: Attend to office guests and deal with inquiries on the phone and face to face. Supply information regarding the organization to the general public, clients and customers. Assist with the administrative support needs of office staff in general and the entire administrative office operations in particular.

Reports to: The Manager of Office Operations

General Responsibilities:

  • Answer telephone, screen and direct calls
  • Take and relay messages
  • Provide information to callers
  • Greet persons entering organization
  • Direct persons to correct destination
  • Deal with queries from the public and customers
  • Knowledge of staff movement in and out of organization
  • General administrative and clerical support
  • Prepare letters and documents
  • Receive and sort mail and deliveries
  • Schedule appointments
  • Assist with the organization of and preparation for meetings
  • Keep the reception area, conference room / break area tidy

Experience:

  • knowledge of administrative and clerical procedures
  • knowledge of computers and relevant software applications
  • knowledge of customer service principles and practices

Title: Visitors Center Volunteer

Purpose: Volunteers are ambassadors who facilitate meaningful experiences for our visitors by welcoming guests, providing information about the current exhibits, and enriching their learning experiences by helping them to make meaning of our collection.

Reports to: The Visitors Center and Events Manager

Benefits:

  • Get a better understanding of The National Jazz Museum in Harlem's history and its Mission
  • Develop a deeper appreciation for jazz music, its origins, and its continued development
  • Share your knowledge of jazz with people from around the world

Responsibilities:

  • Assist with daily Visitors Center operations or evening Museum events.
  • Encourage each guest to record his/her name clearly on the Visitors Sign in sheet.
  • Offer guests a beverage when they arrive and a place to hang their jacket or bag.
  • Assist with merchandise purchases.
  • Encourage donations.
  • After each guest has walked through the Visitors Center, ask each guest if they would like to be photographed for our Photo Gallery which is on our website. (After you photograph the guest, please photograph his/her name on the sign in sheet.)

Due to the size of our museum, our museum tours are intimate in form, which allows you, as a volunteer, to give visitors a general walk-through of the collection and also allows visitors to comfortably peruse our exhibit and collection at their own pace.
